Property inventory report
A property inventory report serves as an important legal document that helps to protect the rights and interests of both the landlord and the tenant. It can be used as evidence in case of any disputes or disagreements that may arise during or after the tenancy regarding the condition of the property, damages, or deductions from the security deposit. It helps establish a baseline for the property’s condition, ensuring that any changes during the tenancy can be accurately assessed and resolved in a fair and transparent manner.
A property inventory report is a comprehensive and detailed record of the condition and contents of a property, typically created for a landlord or property management company by a third party inventory clerk, before a tenant moves in. It serves as a documented record of the state of the property, including its fixtures, fittings, furniture, and appliances, at the beginning of a tenancy.
A property inventory report usually includes written descriptions, photographs, and sometimes videos or audio recordings of the property's interior and exterior, as well as any existing damage, wear and tear, or defects. It may also include utility meter readings, keys provided to the tenant, and other relevant details, such as the condition of carpets, walls, and appliances.
The report is typically signed by both the landlord or property management representative and the tenant, acknowledging that they have reviewed and agreed upon the contents of the report.
Tenant check-in
At the Check In the tenant is meeting with the landlord or property management representative. The tenant and the landlord or property management representative meet at the property at an agreed-upon time to conduct the check-in process.The inventory clerk is reviewing the property inventory report; highlighting any major discrepancies or damages and notifying the Tenant and managing agent about these. The inventory clerk will do a quick walk through in the property with the Tenant and advise them about a few must know information e.g.: location of fuse box & main water stopcock; location meter readings etc.…
Taking meter readings: The tenant and the landlord or property management representative may take utility meter readings, such as gas, electricity, and water, to establish the starting readings for the tenancy. This helps ensure that the tenant is only responsible for the utility usage during their tenancy period.
Collecting keys: the landlord or property management representative may handover the keys to the Tenants at the Check In process (subject to all necessary paperwork to be completed prior agreed time).

Mid-term property inspection
Typically, mid-term or interim inspections are carried out at half term of the tenancy period. At an interim inspection we inspect the property for general maintenance, housekeeping, cleanliness, evidence of smoking, pets, subletting or any other misuse during the tenancy.
We then compile a report with overview pictures of every room and pictures of any issues there may be.
We test the smoke; heat & carbon monoxide alarms and record the results.

Tenant check-out
The tenant check-out service is one of the most important services offered by a property inspection company. This is because it helps to see the overall condition of the property after the tenant has vacated & helps to determine whether there are any damages caused by the tenant what fore they can be held responsible.It’s important for the tenant and the landlord or property management representative to carefully inspect the property and compare its condition to the property inventory report and the agreed-upon condition at the start of the tenancy. Any damages or issues should be documented, discussed, and resolved during the check-out process to avoid disputes and ensure a fair and smooth transition at the end of the tenancy.
Overall condition of the property, including walls, floors, ceilings, doors, windows, and fixtures. Any damages, stains, or wear and tear on surfaces, appliances, furnishings, or fittings. Functionality of appliances, such as stove, oven, refrigerator, dishwasher, washing machine, dryer, etc.
Cleanliness of the property, including carpets, floors, walls, and any other areas. State of gardens, yards, or outdoor spaces, if applicable.
Return of all keys, access cards, and other provided items related to the property. Meter readings for gas, electricity, water, and other utilities, to compare with the starting readings from the check-in process. Any other discrepancies or changes in the condition of the property since the check-in process.
